PARKING ROLES AND RESPONSIBILITIES:
Parking volunteers are some of the first faces people meet when arriving to Firefly. Parking volunteers assist participants in understanding where to place their vehicles for the duration of the event, in ways that make the event safe and fun for all. Parking volunteers are stationed at three separate locations for the duration of the event, Upper Nexus/Parking, Lower Parking, and Main Parking (off-site).
All parking volunteers must be fully clothed and, in a state where they are capable of making good and reasonable decisions when on shift.
LOT OVERVIEW:
Lower Parking:
Lower parking is located next to Gate. It is next to the entrance for the ring road. Lower parking is for 4WD/AWD Vehicles ONLY. This lot is accessible during the entire event.
Upper Nexus/Parking:
Upper Nexus/Parking is located around the gear drop zone, and is reserved parking for those with accessibility needs, large trucks/U-Haul's that have infrastructure, vehicles that need to be easily accessed to leave the event--like Fire Safety, DPW, and Sound Core leads, and anyone else who needs to be placed in this lot who needs to come and go or move around the location. Because the Nexus is more than just a parking area, almost all vehicles will enter this space to drop and collect their gear at one of two drop zones designated for this space. Nexus also will have the satellite--a space that has a radio available for emergency calls 24/7, and also the Ice Hole--where we can get ice during the event.
Main Parking (off-site):
Main parking is across the street from the event. Participants parked here cannot access their cars during the event. All cars going into Main Parking must stop at Lower or Upper to drop their gear before being parked.

RESPONSIBILITIES OF A PARKING VOLUNTEER:
Parking volunteers work with the rest of the arrival team to ensure that all vehicles that arrive have a parking placard with information filled out on their dashboard, before they are told which lot to park in. Certain people will have permission to park in specific locations--verify this on the list and give them the parking placard that demonstrates the correct level of parking permission.
- Before a vehicle parks, ensure they have their Parking Placard filled out and displayed in their window.
- Every vehicle should fill out a parking pass, Vehicles with hot pink RE-ENTRY passes are allowed limited re-entry: check pass for details.
EARLY ARRIVAL & EXODUS/GTFO:
Early arrival is from 12-7 PM Monday and 7-11 AM Tuesday
GTFO/EXODUS is from 12-7 PM Sunday
Vehicles approved by GTFO (ONLY approved vehicles with GTFO passes with an owl on them) are permitted to drive into the woods. GTFO core coordinates traffic flow into the woods.
During Exodus, parking volunteers should be stationed at various points of the parking lots to communicate flow & direct cars out.
GETTING ASSISTANCE:
- It’s OK to ask for help! You can reach other lots, parking leads, or Rangers using the radio. See the “RADIO” tab on your binder.
- Call for backup when in doubt. If you’re dealing with a participant who isn’t following instructions, is talking back to you, or is being combative, call Rangers (channel 1, INFO) ASAP. You do not deserve to be treated like that and it is not your responsibility to de-escalate a conflict.
- If someone gets stuck: the Main Lot has traction pads and a tow strap available for self-reliant participants. DPW also has a set. Other participants will help and push, they’ll get out. If someone is really, really super stuck, use the radio to call DPW for assistance.
CLOSING REMARKS:
We really appreciate all the hard-work you have put into your shift and are thankful you chose Parking Core. As our community grows, you are some of the first faces attendees get to interact with; you are an integral part of this organization! And remember, if you ever need a break from your camp, come volunteer some more this week!
- Don’t forget to drink water and seek shade if you’re feeling overheated!
- Eat snacks - there are tons in the bin!
- Have fun, meet new folks, connect with old folks, welcome people home!
